Terms and Conditions
The agreement between Regi and the lodgings that use it to register their travelers.
Last updated: September 14, 2026
These Terms and Conditions (the "Terms") govern access to and use of Regi, the service for registering travelers at lodgings in Spain (the "Service"). By creating an account, starting the free trial or subscribing, the Customer accepts these Terms.
The Terms form a single agreement with the Privacy Policy (https://regi.es/en/privacy), the Cookie Policy (https://regi.es/en/cookies) and, for travelers' personal data, the Data Processing Agreement (https://regi.es/en/dpa). If they conflict on the processing of personal data, the Data Processing Agreement prevails.

1. Definitions
- "Regi", "we" or "us": Ignacio Lopezosa Serrano, the provider identified above.
- "Customer": the natural or legal person who creates an account and contracts the Service to manage one or more lodgings.
- "Consumer": a Customer who is a natural person acting for purposes outside their trade, business or profession, as defined in Spanish consumer protection law (Royal Legislative Decree 1/2007).
- "Traveler": a person staying at the Customer's lodging whose data is recorded.
- "Unit": each apartment, house or villa, or each room of a hotel, hostel or campsite, that the Customer registers in Regi.
- "Traveler report" (parte de viajeros): the record of travelers that lodgings must submit under Royal Decree 933/2021.
- "Authorities": the SES.Hospedajes platform of the Spanish Ministry of the Interior and, where applicable, the Mossos d'Esquadra (Catalonia) and the Ertzaintza (Basque Country).
2. The Service
Regi is a web application that helps lodgings in Spain meet the traveler registration duties of Royal Decree 933/2021. The Service includes:
- Online check-in: links and forms that Travelers complete on their own device, with a digital signature.
- Reservations, created by hand or imported from booking platforms through iCal calendar sync.
- Automatic generation and submission of traveler reports to the Authorities, and their modification or cancellation after submission where the Authority's platform allows it.
- Email notices about upcoming arrivals that still have no check-in.
- A history of reports to view and download, kept for the three years the law requires, even after the Customer leaves.
Submission deadline: every traveler report created in Regi at least five (5) minutes before its legal deadline will be submitted before that deadline. This commitment covers the submission only, not how or when the Authorities process or accept the report.
Regi is a technology provider that makes compliance easier. The legal duty to register Travelers remains with the Customer as the operator of the lodging.
Regi may improve, change or retire features. If a change materially reduces the Service the Customer pays for, Regi will give notice as set out in section 15.
The Service relies on third-party infrastructure, the Authorities' systems and booking platforms' calendars. Regi does not guarantee uninterrupted availability and is not responsible for outages or errors in those systems.
3. Account and use of the Service
- The Service is for anyone who runs lodgings in Spain, whether a business, a professional or a private individual. Customers who are Consumers also have the rights in section 12.
- The Customer must be of legal age and able to enter into contracts, and must provide true, complete and up-to-date information.
- The Customer must keep their login details secure and is responsible for activity on their account. If they suspect unauthorized access, they must tell Regi without delay at support@regi.es.
- The Customer must not use the Service unlawfully; resell it or give third parties access without Regi's permission; try to access other customers' data; reverse engineer, overload or disrupt the Service; or extract data from it by automated means other than the features Regi provides.
4. Customer obligations
- Hold the credentials and registrations the Authorities require (such as a digital certificate and the registration of the establishment on SES.Hospedajes), unless the Customer authorizes Regi to register on their behalf under section 5.
- Keep the details of the lodging and its Units in Regi accurate, including the establishment codes assigned by the Authorities.
- Not alter or falsify Traveler data. Regi tells Travelers they are legally required to provide true, complete and accurate data, but is not responsible for the accuracy of the data they provide.
- Review the notices Regi sends about pending check-ins or rejected reports, and act on them in time.
- Meet the duties that fall on the Customer as controller of Travelers' personal data, as described in section 13 and the Data Processing Agreement.
5. Representation before SES.Hospedajes
When the Customer expressly authorizes it during sign-up (by ticking the corresponding consent box), Regi registers the Customer on the SES.Hospedajes platform of the Ministry of the Interior and submits their traveler reports on their behalf, acting as their representative.
This representation is provided on the following conditions:
- Regi creates and manages the SES.Hospedajes account as the Customer's representative. Access to that account cannot be handed over to the Customer, nor can its credentials be transferred.
- The Customer keeps access to their data and traveler reports through Regi at all times.
- The Customer may ask at any time for all of their information to be removed from SES.Hospedajes.
6. Free trial
- New Customers can try the Service free for 21 days, without providing a payment method and with the same features as a paid plan.
- When the trial ends, if the Customer has not chosen a paid plan, the subscription ends automatically and nothing is charged. The Customer can no longer create or submit reports, but keeps access to the history to view and download it.
- Regi offers one free trial per Customer and may refuse a new trial to anyone who has already had one.
7. Prices, billing and payment
The price depends on the type of lodging and the number of Units:
- Apartments, apartment hotels and villas: €5.99 per unit per month, or €59.90 per unit per year.
- Hotels, hostels and campsites: €1.99 per room per month, or €19.90 per room per year.
Prices include VAT. Special prices or promotional discounts may apply.
Subscriptions are charged in advance at the start of each billing period and renew automatically for periods of the same length until cancelled.
Payments are processed by Stripe, by card or other electronic payment methods. Regi does not store full card details. Invoices are available in the billing section of the Customer's account.
If a payment fails, Regi will notify the Customer and may suspend the creation and submission of new reports until it is settled. Access to the history is kept.
Regi may change its prices with at least one month's notice, and will aim to give three. A new price applies from the next billing period, never to the period in progress, and the Customer may cancel before it takes effect.
8. No refunds
The 21-day free trial exists so the Customer can evaluate the Service before paying. For that reason, amounts already paid are not refunded, including when the Customer cancels partway through a billing period.
This does not affect the Consumer right of withdrawal (section 12), payments under the Anti-fine guarantee (section 9), refunds of prepaid periods if Regi discontinues the Service (section 10), or any other refund the law requires.
9. Guarantees
Anti-fine guarantee. If the Customer is fined for breaching traveler registration duties and the fine results directly and exclusively from a demonstrable error of the Regi platform, Regi will pay the amount of the fine on these conditions:
- Limit: Regi pays up to twenty (20) times the fees the Customer paid Regi in the twelve (12) months before the error, and never more than €30,000 per incident. The guarantee therefore does not cover periods in which the Customer paid nothing, such as the free trial or a Switch and save free period.
- Fines that stem from the same error or cause count as a single incident, even if they concern several reports, Units or dates.
- It does not cover fines caused by data entered by Travelers or the Customer; incorrect settings of the lodging or its Units; reports created less than five minutes before their deadline; failures of the Authorities' systems or other third parties; notices from Regi the Customer did not act on; periods when the account was unpaid or suspended; or force majeure.
- The Customer must tell Regi in writing within fifteen (15) days of receiving the first notice of the sanction proceeding, send a copy of it, and let Regi help prepare the response. Regi pays the amount finally imposed, or reimburses it if the Customer has already paid, including a reduced amount paid early.
Switch and save. New Customers who are still bound by a minimum-term commitment with another traveler registration provider can use Regi free for the time left on that commitment, up to three (3) months, on these conditions:
- The Customer has never paid for Regi before.
- The Customer requests it when signing up, and no later than 30 days after creating the account.
- The Customer sends a contract or invoice showing the other provider and the date their commitment ends.
- The free period covers only as many Units as the contract with the other provider included. Additional Units are charged at the normal price.
- The free period starts when the free trial ends and cannot be exchanged for money.
Regi may check the documents provided and refuse the offer if the conditions are not met.
10. Cancellation and termination
The Customer can cancel the subscription at any time from their account.
- After cancellation, no further charge is made.
- The Customer keeps access to paid features until the end of the period already paid.
- Once that period ends, the Customer can no longer create or submit reports, but keeps access to the history to view and download it for the legal retention period.
- Reports created before the end of the period are submitted to the Authorities automatically. If a submission fails because of an error in the report itself, it is not retried and the Customer must complete the registration outside the platform.
Regi may suspend or end the Service for a Customer who seriously breaches these Terms, in particular through non-payment, unlawful use or falsified data, with prior notice where the circumstances allow.
Regi may also discontinue the Service altogether with at least three (3) months' notice. In that case it will refund the unused part of any prepaid period and, before deleting any data, send a ZIP file with all of the Customer's traveler reports and all the data Regi holds about them to the account's email address, so nothing is lost.
After termination, personal data is deleted or returned as set out in the Data Processing Agreement and the Privacy Policy, except for traveler reports, which are kept for the three years required by Royal Decree 933/2021.
11. Liability
Regi provides the Service with professional diligence, but is not liable for:
- Misuse of the Service by the Customer.
- The accuracy of the data provided by Travelers.
- Errors, outages or failures of SES.Hospedajes or other Authority platforms.
- Failures of infrastructure and payment providers (such as AWS, Vercel or Stripe) or of booking platforms' calendars.
- Force majeure, widespread internet incidents or changes in the law.
Towards Customers who are not Consumers, Regi is not liable for indirect damage such as lost profits, lost bookings or harm to reputation.
Except for the Anti-fine guarantee, which has its own limit, Regi's total liability to the Customer is limited to the amount the Customer paid in the twelve (12) months before the event that caused the damage.
These limits do not apply to damage caused by wilful misconduct or gross negligence, or where the law does not allow liability to be limited, including the rights of Consumers.
12. Customers who are Consumers
If the Customer is a Consumer, the rights granted by Spanish consumer protection law also apply and prevail over anything to the contrary in these Terms.
Right of withdrawal. A Consumer may withdraw from the paid subscription within fourteen (14) calendar days of contracting it, without giving any reason. The free trial involves no payment, so it needs no withdrawal: the Consumer can simply let it end.
To withdraw, the Consumer must send a clear statement to support@regi.es before the period ends, for example: "To Ignacio Lopezosa Serrano (Regi), Boulevard Louis Pasteur, 47, Oficina 103, 29010 Málaga, Andalucía, España, support@regi.es: I hereby give notice that I withdraw from my contract for the following service: Regi subscription, contracted on [date]. Name and address of the Consumer: [name and address]. Date: [date]."
Because the Service starts as soon as the subscription is contracted, at the Consumer's express request, a Consumer who withdraws pays the part of the price that corresponds to the days of service already provided. Regi refunds the rest within fourteen (14) days of receiving the withdrawal, using the same payment method.
Conformity. The Service is subject to the legal guarantee of conformity for digital services, which the limits in section 11 do not restrict.
Complaints. Consumers can send complaints to support@regi.es or by post to Boulevard Louis Pasteur, 47, Oficina 103, 29010 Málaga, Andalucía, España, and may ask for an official complaint form. They may also go to the courts of their own domicile (section 17).
13. Data protection
- For Travelers' personal data, the Customer is the controller and Regi is the processor. This processing is governed by the Data Processing Agreement (https://regi.es/en/dpa), which the Customer accepts together with these Terms.
- For the data of the account, billing and use of the Service, Regi is the controller, as described in the Privacy Policy (https://regi.es/en/privacy).
- Data is stored encrypted in the European Union. The providers involved in the processing are listed on the Subprocessors page (https://regi.es/en/subprocessors).
- Regi informs Travelers about how their data is processed and how to exercise their rights, which they may do through the Customer as controller.
- Traveler reports are kept for three years as required by Royal Decree 933/2021.
14. Intellectual property
The software, designs, logos, brands and other content of Regi belong to Regi or its licensors. The Customer receives a non-exclusive, non-transferable and limited licence to use the Service for as long as their subscription lasts.
The data the Customer and their Travelers enter into Regi belongs to the Customer. Regi uses it only to provide the Service, as set out in the Data Processing Agreement.
If the Customer sends suggestions to improve Regi, Regi may use them freely and without any obligation.
15. Changes to these Terms
Regi may update these Terms, for example to reflect changes in the Service or in the law. Regi will notify Customers by email of material changes at least thirty (30) days before they take effect. If the Customer does not agree, they may cancel before that date; continuing to use the Service afterwards means accepting the new Terms.
Changes the law requires, or that do not reduce the Customer's rights, may take effect on publication.
16. General provisions
- If any clause of these Terms is held invalid, the others remain in force.
- If Regi does not exercise a right, that does not mean it waives it.
- Regi may transfer this agreement to a company that takes over the Service, for example if Regi incorporates as a company, by notifying the Customer. The transfer does not affect the Customer's rights under these Terms.
- These Terms are available in Spanish, English, French and German. If the versions differ, the Spanish version prevails.
17. Applicable law and jurisdiction
These Terms are governed by Spanish law.
Disputes with Customers who are not Consumers are subject to the courts of Málaga, Spain. Consumers may bring claims before the courts of their own domicile.
